Position: Finance Officer

Location: Kwale County, Kenya

Summary: Fanikisha Foundation, an indigenous women-led non-governmental organization, is seeking a qualified detail-oriented individual to fill the position of Finance
Officer. The Finance Officer will be responsible for overseeing financial management ensuring compliance with financial regulations procedures for a project aimed at increasing
awareness uptake of post-pregnancy family planning in Kwale County. The successful cidate will play a key role in budgeting, financial reporting, monitoring project
expenditures.

Responsibilities:

1. Financial Management:

  • Develop maintain project budgets in collaboration with the project team.
  • Ensure compliance with financial policies, procedures, donor guidelines.
  • Review process financial transactions, including payments, reimbursements, procurement requests.
  • Monitor project expenditures prepare regular financial reports for management donors.
  • Conduct regular financial analysis provide recommendations for cost-effective project implementation.
  • Assist in the preparation of annual audits facilitate the resolution of any financial audit findings.

2. Budgeting Reporting:

  • Support the Project Coordinator in developing project budgets financial plans.
  • Monitor budget utilization provide regular updates on budget performance.
  • Prepare accurate timely financial reports, including monthly, quarterly, annual financial statements.
  • Ensure timely submission of financial reports to donors other relevant stakeholders.
  • Collaborate with the project team to analyze project financial data inform decision-making.

3. Compliance Documentation:

  • Maintain proper financial documentation ensure adherence to record-keeping requirements.
  • Ensure compliance with relevant tax laws regulations.
  • Support the procurement process, including vendor selection, bidding, contract management.
  • Conduct periodic financial reviews to identify any discrepancies or irregularities.
  • Provide guidance training to project staff on financial procedures compliance.

4. Donor Relations:

  • Collaborate with the Project Coordinator in addressing financial queries requirements from donors.
  • Liaise with donors regarding financial reporting, budget revisions, audit processes.
  • Prepare financial documents respond to requests for financial information from donors.

Qualifications Requirements:

  • Must have at least CPA Part Two
  • Bachelor’s degree in finance, accounting, or a related field will be an added advantage.
  • Proven experience (at least 3-5 years) in financial management, preferably within the non-profit sector or development projects.
  • Strong knowledge of financial regulations, accounting principles, budgeting.
  • Proficiency in financial management software Microsoft Excel.
  • Attention to detail high level of accuracy in financial data management.
  • Strong analytical problem-solving skills.
  • Excellent communication interpersonal skills.
  • Ability to work effectively under pressure meet tight deadlines.
  • Fluency in English Kiswahili, both spoken written.

Summary: Fanikisha Foundation, an indigenous women-led non-governmental organization, is seeking a qualified dynamic individual to fill the role of Project Coordinator.
The Project Coordinator will be responsible for overseeing coordinating all aspects of a project aimed at increasing awareness uptake of post-pregnancy family planning in Kwale
County. The successful cidate will play a key role in ensuring the smooth implementation of the project, collaborating with stakeholders, monitoring progress.

Responsibilities:

1. Project Management:

  • Develop implement project work plans, ensuring alignment with project objectives timelines.
  • Coordinate project activities resources to ensure efficient effective implementation.
  • Monitor project progress, identify risks challenges, develop mitigation strategies.
  • Provide regular updates reports on project activities, outcomes, challenges to stakeholders.

2. Stakeholder Engagement:

  • Collaborate with relevant government agencies, partner organizations, community leaders to ensure effective coordination cooperation.
  • Conduct regular meetings consultations with stakeholders to ensure their active involvement in project implementation.
  • Foster positive relationships with stakeholders maintain effective communication channels.

3. Financial Management:

  • Work closely with the Finance Officer to develop project budgets financial plans.
  • Monitor project expenditures ensure compliance with financial guidelines donor requirements.
  • Review approve project-related financial documents, such as expense reports procurement requests.
  • Provide support in financial reporting assist in budget revisions, as needed.

4. Monitoring Evaluation:

  • Develop implement a monitoring evaluation framework to track project progress outcomes.
  • Collect, analyze, report project data, ensuring data quality accuracy.
  • Use monitoring evaluation findings to inform project adjustments improvements.
  • Ensure compliance with monitoring evaluation requirements from the donor partner organizations.

5. Team Leadership:

  • Provide leadership, guidance, support to project staff, fostering a positive productive work environment.
  • Conduct regular meetings provide feedback to project team members.
  • Facilitate capacity-building activities identify training needs for the project team.
  • Promote teamwork, collaboration, knowledge sharing among project staff.

Qualifications Requirements:

  • Bachelor’s degree in a relevant field (e.g., project management, public health, public relations, community development, international development).
  • Proven experience (at least 3-5 years) in project coordination management, preferably within the field of sexual reproductive health or related areas.
  • Strong organizational skills the ability to manage multiple tasks priorities.
  • Excellent communication interpersonal skills, with the ability to engage collaborate with diverse stakeholders.
  • Proficiency in project management tools software.
  • Knowledge of donor regulations reporting requirements.
  • Ability to work independently as part of a team, demonstrating leadership problem-solving skills.
  • Fluency in English Kiswahili, both spoken written.
